Nomination for AFA Committee Positions 2008/2009    

The date for the AGM is the Saturday 30th August 2008, the meeting will start at 7pm.


The current committee would like any members wishing to nominate for the new committee to read the following information prior to nomination.

Below is a indication of AFA Committee’s duties for the next committee year. if you are considering nominating for the Committee you need to be willing  to take on one of these roles. The roles are allocated after the Committee is elected. If nominating for committee it is also recommended you have access to internet and email facilities and a telephone with Recall/Flash function for monthly meetings, should you not have access to these facilities it will seriously inhibit your ability to contribute to the smooth running of the organisation.

PRESIDENT:
The President shall chair all Committee and general meetings. The President shall when necessary speak on behalf of the organisation and before any Court or Government department, and shall present a report to the Annual General Meeting.

VICE PRESIDENT:

The Vice-President shall, in the absence of the President, act in his stead and shall, for this purpose, have all the rights, powers and duties and perform all the functions of the President.

SECRETARY:

The Secretary shall perform all the secretarial functions for the club and in particular keep and maintain:

(i) the roll of members;
(ii) all correspondence records; - All correspondence via email will go through the Regional Representatives who will collate a weekly email for the Secretary to process all questions that were not be able to be answered by the Regional Representatives. The secretary will still attend to written
correspondence they collect from the AFA PO Box and can instruct the Assistant Secretaries to do so.
(iii) minutes of proceedings of meetings of the Committee and of the club; - The secretary will provide agendas and minutes of all meetings and can instruct the Assistant secretaries to do so if need be.
(iv) all necessary records of the affairs of the club; - ie: process all competition results and incident reports as the information is forwarded to the AFA. These matters can also be performed by the assistant secretaries as instructed by the secretary.
(v) a record of awards etc. made at all trials etc conducted by the club. – This job can also be given to the assistant secretaries if need be.

TREASURER:

(i) collect and receive all monies due to the Club and make all payments authorised by the Club; -
This includes receipting all monies received and provide a copy of the receipt to the payee. Paying all accounts and expense claims after approval from the AFA committee. Banking all monies as required.
(ii) keep correct accounts and books showing the financial affairs of the Club with full details of all receipts and expenditure connected with the activities of the Club. – Keep reconciliation’s and Bank Statements. Treasurers reports to be forwarded to the AFA committee prior to every meeting for approval. Keep an assets register for AFA equipment which a copy of will be provided to the committee after each update. Depreciate all assets at the end of year. The AFA has a QuickBooks accounting package which will need to be maintained by the treasurer for correct reporting purposes.

(iii) will be required to update the AFA database and needs to have a good knowledge of Microsoft Access.

COMMITTEE MEMBER – ASSISTANT SECRETARY – Title Awards
- Process all title redemptions as instructed by the Treasurer and/or Secretary and annual awards.

COMMITTEE MEMBER – ASSISTANT SECRETARY - Clerical

Maintain sanctioned events and checking competition results


COMMITTEE MEMBER – WEBSITE MANAGER
-
Maintain all aspects of the AFA website and assist and/or construct the new AFA database onto the AFA web site.

COMMITTEE MEMBER - RESEARCHER -
Research all information required by the AFA committee.

COMMITTEE MEMBERS (likely 2 members) - NEWSLETTER
-
Collate all information for the bi monthly newsletter “The Flying Times” to be approved by the AFA committee before posting to the AFA website and printing for subscriptions.


COMMITTEE MEMBER – PUBLIC OFFICER
-
Must live in the ACT. Handle all associations paper work to the ACT Registrar Generals Office. Must assist the committee with other jobs as required.



RESPONSIBILITIES AND DUTIES OF ALL AFA REGIONAL REPRESENTATIVES
1. The AFA Regional Representative must provide the highest standard of representation on behalf of the Australian Flyball Association in their Region.
2. The AFA Regional Representative must reside in the Region which they represent.
3. The Regional Representative is nominated and voted in by their Regional membe rs and voted in at the AFA Annual General Meeting.
4. The Regional AFA Representative is automatically a member of the AFA Committee.
5. Promote and advance in safety and good sportsmanship, the Sport of Flyball.
6. The AFA Regional Representative must recognise that they are ambassadors of the Australian Flyball Association and the sport of Flyball and as such have a responsibility to positively promote these institutions.
7. Uphold the Rules and Policies of the Australian Flyball Association. The AFA Regional Representative must be familiar with the regulations, rules and requirements
8. Be willing to attend periodic seminars to increase their knowledge of the position of Regional Representative and to benefit the sport of flyball
9. Process all correspondence from their Regional members and non- members and provide details of all correspondence to the AFA secretary for listing in all Agendas and/or Minutes.
10. Once per week forward any questions they are not able to answer to the AFA Secretary.
11. Promote through the encouragement of existing and new flyball groups, demonstrations and competitions, the advancement and the future of flyball in their Region.
12. Report to the AFA Committee, anything of a nature to affect the Sport of Flyball and remain neutral at all times, remembering that they are working for Flyball as a whole.
13. Be an arbiter and diplomat when dealing with any clubs, members etc. of the Australian Flyball Association and leave that person or Club with the feeling that the Australian Flyball Association Committee has been formed to look after their needs and concerns.
14. Approve the competition format and the competition schedule and competition divisions on behalf of the AFA. All formats, schedules and divisions must be forwarded to the AFA Committee for their review. Approval must be in accordance with AFA Rules and Policies.
15. Be able to carry out any of the duties and responsibilities of an AFA Representative at competitions.
